Microsoft 365 Business Basic vs Standard: Start With How Your Team Works

The practical difference

Business Basic provides web and mobile versions of productivity apps, while Business Standard adds desktop apps. Both include business email and cloud collaboration capabilities. Compare roles, not just headcount

List the tasks each employee performs during a normal week. Someone who reads email and edits straightforward documents in a browser has different requirements from a person using a desktop workflow, add-ins, or files while traveling without a reliable connection.

Test the actual files before deciding. Open a representative spreadsheet, document template, and shared file in the intended application. Confirm that the person can complete the task, not merely view the document. Record any dependency on a desktop feature or another licensed product.

Check what you already own

An installed copy of Office does not tell you who owns its license or whether it meets your current business requirements. Keep a record of existing subscriptions, renewals, assigned users, and supported devices. Use that inventory to identify overlaps before buying another subscription.

For a migration, also list shared mailboxes, aliases, distribution groups, domain ownership, and the people who approve access. These implementation details deserve their own plan; choosing a subscription does not configure them automatically.

Evaluate security separately

Do not assume that paying for desktop apps solves identity, device management, or advanced email protection requirements. Compare the specific controls you need against the licenses that include them. A different plan or additional licensing may fit those needs better than Basic or Standard alone.

Before purchasing, write down three decisions: which roles need desktop apps, which security controls are required, and who will administer accounts when employees join or leave. Verify the current offer immediately before ordering because features, packaging, and prices can change.
